AdelaAI Privacy Policy

This Privacy Policy describes how AdelaAI, Inc. ("AdelaAI," the "Company," "we," "us," or "our") collects, uses, discloses, retains, and safeguards Personal Information and Customer Content in connection with the AdelaAI platform, including our web and mobile applications, websites, and related services (collectively, the "Service"). By accessing or using the Service, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

Information provided by you or your organization

  • Account and profile information, including name, email address, authentication credentials, role, organization, and related account settings.
  • Customer Content submitted to the Service, including pleadings, exhibits, correspondence, case materials, legal files, messages, notes, prompts, and other documents uploaded or generated through the Service.
  • Communications with us, including support requests, demo inquiries, feedback, and other correspondence.
  • Billing and subscription information, including plan details, transaction metadata, and payment status. Payment card information is processed by our payment providers and is not stored by AdelaAI.

Information collected automatically

  • Usage and activity information, including pages viewed, features used, session events, document processing status, and product interactions.
  • Device, browser, network, and log information, including IP address, approximate location, operating system, browser type, referring URLs, timestamps, and diagnostic data.
  • AI processing telemetry, including model routing, token usage, latency, cost estimates, and error events used for billing, reliability, abuse prevention, and service improvement.
  • Security and performance information, including crash reports, audit events, authentication events, and system logs.

2. How We Use Your Information

We process Personal Information and Customer Content for the following business and operational purposes:

  • To provide, administer, maintain, secure, and improve the Service;
  • To process Customer Content and generate requested outputs, including analysis, timelines, summaries, draft materials, search results, and workflow assistance;
  • To authenticate users, manage accounts, enforce access controls, and support workspace administration;
  • To process subscriptions, invoices, payments, renewals, and related billing operations;
  • To send service, security, billing, administrative, and support communications;
  • To monitor, prevent, investigate, and remediate fraud, abuse, unauthorized access, security incidents, and technical issues;
  • To comply with applicable law, legal process, contractual obligations, and enforceable governmental requests.

We do not sell Personal Information, and we do not use Customer Content to train foundation models except where you expressly direct or authorize such use in writing.

3. AI Processing of Legal Documents

When you request AI-enabled features, Customer Content may be transmitted to model providers and infrastructure providers that process the content on our behalf for the limited purpose of generating the outputs you request, operating the Service, and maintaining security and reliability. We require service providers to process Customer Content subject to contractual restrictions and confidentiality obligations appropriate to the nature of the services provided.

AdelaAI is a technology provider and does not provide legal advice. You are solely responsible for determining whether use of the Service, including the submission of client materials or privileged information, is consistent with your professional, ethical, confidentiality, privilege, data protection, and court-imposed obligations.

4. Data Storage & Security

We use administrative, technical, and organizational safeguards designed to protect Personal Information and Customer Content against unauthorized access, disclosure, alteration, and destruction. These safeguards include encryption in transit, encryption at rest, access controls, authentication controls, logging, monitoring, and periodic security reviews.

Customer Content and related metadata may be stored in cloud infrastructure located in the United States, including managed databases, object storage, search infrastructure, and background processing systems used to operate the Service.

No method of transmission, processing, or storage is completely secure. Accordingly, we cannot guarantee absolute security, but we will take reasonable steps designed to investigate, mitigate, and provide legally required notices regarding security incidents affecting Personal Information or Customer Content.

5. Data Retention

We retain Personal Information and Customer Content for as long as reasonably necessary to provide the Service, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, preserve security, and support backup and disaster recovery processes. Following account closure or a verified deletion request, we will delete or de-identify Customer Content within a commercially reasonable period, except to the extent retention is required or permitted by law, contract, security, backup, or legitimate business needs.

6. Third-Party Services

We may disclose Personal Information and Customer Content to vendors, service providers, and subprocessors that perform services for us or on our behalf, including:

  • Google Cloudhosting, object storage, document processing infrastructure, and related cloud services

  • OpenRouter, OpenAI, Anthropic, Google, and other model providersAI inference and model processing requested through the Service

These providers are authorized to access information only as necessary to provide services to us, comply with law, or protect the security and integrity of their services. Certain third-party services may also process information under their own terms or privacy notices where you access them directly.

7. Your Rights

Subject to applicable law and verification of your request, you may have one or more of the following rights with respect to Personal Information:

  • To request access to the Personal Information we maintain about you;
  • To request correction of inaccurate or incomplete Personal Information;
  • To request deletion of Personal Information or Customer Content;
  • To request export or portability of certain information in a structured format;

We do not use third-party advertising cookies. You may disable cookies through your browser settings, but disabling cookies may prevent portions of the Service from functioning properly.

9. Children's Privacy

The Service is intended for use by legal professionals and authorized business users and is not directed to children or individuals under 18 years of age. We do not knowingly collect Personal Information from children. If you believe a child has provided Personal Information to us, please contact us and we will take appropriate steps to delete the information.

10. Changes to This Policy

We may modify this Privacy Policy from time to time. If we make material changes, we will provide notice by email, in-product notice, posting through the Service, or other legally sufficient means. The updated Privacy Policy will be effective as of the effective date identified above unless otherwise stated.
